Accommodation Start Procedures:
Room reservations are made through the Student Housing Coordination Office by calling 0549 870 1909 or via the ARELİM application.
Documents related to payments made to the bank account determined by the Financial Affairs Office for the Student Village, or via the ARELİM application, and the Financial Affairs Approval Form must be submitted to the Student Village Management Office. (Our students may also upload their payment receipts to the ARELİM page.)
The Student Village Accommodation Agreement must be read and signed.
As fixtures, the following are delivered to our residents by filling out the Inventory Form: a shared refrigerator and washing machine, and individually a wardrobe, bed, pillow, duvet, blanket, chair, one interior door key, one exterior door key, and a cabinet key.
Once the final registration is completed, our students’ ID cards are registered in the turnstile entry–exit system. It is mandatory to scan the cards at entrances and exits. In case the card is lost or forgotten, a report is prepared by the security officer with the knowledge of the Student Village Management Office staff, and entry/exit is provided with a pass card until a new student ID card is issued.
Orientation Program:
An orientation program is organized at the beginning of each academic year with the participation of all students who will stay in the Student Village. Within the scope of the program, information is given about the rules to be followed in the Student Village, the regulations and the handbook, as well as transportation, meals, room use and villa representatives. In addition, activities such as a local tour and welcome event are organized so that our residents can get to know each other and become familiar with the surroundings of the Student Village.
Entry–Exit Hours:
On weekdays, the last exit time is 23:45 and the last entry time is 00:30. On weekends, the last exit time is 23:45. Except for force majeure, it is forbidden to exit the Student Village between 23:45–07:00 and to enter between 00:30–07:00. In accordance with the accommodation rules applied in the Student Village, whenever any of our residents wish to stay outside the Student Housing, they must fill out the “Dorm Permission Form” in the Arelim system.
According to the Student Village Directive, any student who needs to leave after the last entry time must fill out a “Permission Form”. A report is prepared and a written statement is taken from any student who leaves without filling out the permission form.
Termination of Accommodation Procedures:
1– The Student Village Disenrollment Form must be filled out by contacting the Student Village Management Office.
2– After our residents remove all their personal belongings from their rooms, an inventory check is carried out.
3– If any of the fixtures registered to our residents’ rooms are found to be damaged, a deduction will be made from the deposit payment.
4– The access rights of authorised ID cards to the turnstile entry–exit system are cancelled.
5– An advance payment is taken from our residents who wish to continue staying in the Student Village in the following academic year. The purpose of this advance payment is to enable our residents to access room alternatives more easily. If the guest does not fulfil their financial obligation and does not check into the Student Village within 5 days from the start date of the new accommodation period, their right is forfeited, no refund is made, and the room is allocated to another resident.
Summer Storage Use Requests:
Residents who currently stay in the Student Village and will continue to stay in the following academic year are provided with a storage area by the Student Village Management Office where they can keep their belongings.
As the storage area is limited, residents who wish to benefit from the storage service must apply to the Student Village Management Office by email at ogrencievleri@arel.edu.tr no later than May. Requests received will be evaluated in order of application.
All necessary measures have been taken to ensure the security of the storage rooms. However, in the event of possible loss, theft or damage, although all necessary steps will be taken, the Student Village Management Office will not be held responsible for items lost, stolen or damaged while in summer storage. Therefore, it is recommended that items placed in storage be insured and that belongings of special value not be stored.
It is not possible to retrieve items from storage during the June–September period when the storage rooms remain locked.
Our residents must lock the boxes and suitcases in which they place their belongings or pack and tie them securely. In addition, each item must bear the storage agreement label that has been mutually signed with the Student Village Management Office.
Due to the limited storage area, each resident is allocated 0.5 m³ of space.
Residents who will use the storage facility must read the Storage Use Agreement, sign the Storage Service Request Form, and keep a copy of this agreement with them at the beginning of the fall term.
Items that are not collected from storage within 30 days from the beginning of the new term will be removed from storage with an official report and sent for recycling.
Room Change Requests:
Residents of the Student Village who wish to request a room change must apply to the Student Village Management Office with a written petition and state the reason for their request. The administration evaluates these requests weekly, and the request is placed on the room change waiting list.
Dormitory residents may apply to the Student Village Management Office to be placed on the room change waiting list starting from the tenth day of the fall term.
Room changes are carried out based on priority and availability.
Once a room change is approved and notified to the resident, the room transfer must be completed within 48 hours.
Room change requests are processed between rooms of equal standard. In cases where there is a price difference, if the room change takes place at the beginning of the fall term, the price difference is calculated and applied for two semesters; if it takes place in the spring term, it is calculated and applied for one semester only. In cases of transfer from a higher-priced room to a lower-priced room, the difference in price is not refunded.
Fee Payment and Refund Requests:
The Student Village fee is paid in accordance with the payment plan determined by the Financial Affairs Office during the registration periods. The accommodation fee must be paid within 15 days at the latest. For guests who do not make payment, the procedure specified in the Student Housing Directive is applied.
Students who wish to terminate their accommodation within the first month may leave by informing the Student Village Management Office during the last week of the month and checking out by the end of the month. In this case, three quarters of the annual room fee and the room deposit are refunded upon check-out.
Students who wish to terminate their accommodation within the second month may leave by informing the Student Village Management Office no later than the last week of the second month and checking out by the end of that month. In this case, half of the annual room fee and, if there is no damage to the fixtures, the full deposit are refunded.
Students who wish to terminate their accommodation from the third month onward may leave by informing the Student Village Management Office. However, the remaining portion of the room fee is not refunded. The room deposit is refunded.
Our Rooms:
All of our rooms are equipped with a bed, study desk, wardrobe and chair. Bathrooms are located in the shared common areas.
Personal Belongings:
Our residents are required to provide their own personal items (towels, bathrobes, bed sheets, pillowcases, duvets, soap, shampoo, toilet paper, etc.).
Internet Use:
Internet service is offered in all our rooms under a fair usage quota policy. Internet access throughout the Student Village is provided via wireless.
To connect to the wireless network, the ARELWIFI network must be selected.
Then, you can log in using your @istanbularel.edu.tr email address and password in the login section.

Common Use Areas:
Bathrooms, the dining hall, cafeterias, study areas and the library are common use areas.
Bathroom Use:
Bathrooms located in common areas are cleaned daily by our cleaning staff.
Our residents are responsible for keeping the bathrooms and toilets clean.
Personal items (soap, shampoo, towels, etc.) are provided by the residents.
In case of loss or damage of belongings left in the bathroom, responsibility lies with the residents.
Dining Hall Use:
Breakfast, lunch and dinner are served in the dining hall at the following times:
Breakfast: 07:30–10:00
Lunch: 12:00–13:30
Dinner: 17:00–20:00
Residents who wish may also benefit from fast-food and vending machine services offered in our dining hall between 08:00–21:00 during the day.
Use of Study Areas:
In each student housing facility, there are study areas where our residents can study comfortably, rest and engage in social activities.
Study areas are common spaces.
Music should not be played loudly or noise made in a way that disturbs others in the study areas.
The furniture in the study areas must not be moved.
Furniture cannot be taken into rooms for personal use. For this reason, any resident who makes changes to or causes damage in common areas is responsible for covering the damage.
If more than one resident has caused the damage, they are equally responsible for the financial cost.
The area used must be left clean.
Use of Shuttle Service:
Information regarding shuttle times and routes is provided below. The Student Village Management Office reserves the right to change the shuttle route, times and frequency or to cancel the service entirely if needed.
Shuttle services between the Student Village and the University Campus operate as a ring service on weekdays between 08:30–17:15.
On weekdays and weekends, the shuttles between the Student Village and TÜYAP operate according to the schedule announced at the beginning of the academic year.
All information about shuttle times is posted on the notice boards in the Student Village and on the Student Village website.
The Student Village shuttle service is provided exclusively for our residents.
Ring services are free of charge.
The sticker affixed by the Student Village Management to student ID cards must be shown to the driver upon request.
Emergency Vehicle Service:
In the event of illness and similar emergencies (fainting, falling, fractures, earthquakes, fires), a vehicle is provided when needed.
During weekdays and working hours, the patient is directed to the University Health Centre by the student shuttle.
On weekdays and weekends, guests who fall ill between 17:00–24:00 are referred to the hospital by the Student Village shuttle. On weekdays and weekends, guests who fall ill between 24:00–08:00 are referred to the hospital with the university vehicle.
In emergencies (for our residents whose lives are in danger), 112 must be called and an ambulance requested.
Health Services:
Health services are provided at the University Health Centre with a doctor and a nurse.
In the event of any health problem:
During weekdays and working hours, the patient is directed to the University Health Centre by the student shuttle.
If a hospital referral is required, after observation, procedures and the decision for referral are made by the Health Team, the Student Housing Directorate is informed and the hospital referral is carried out in coordination.
On weekdays and weekends, guests who fall ill between 17:00–24:00 are referred to the hospital by the Student Housing shuttle. On weekdays and weekends, guests who fall ill between 24:00–08:00 are referred to the hospital with the university vehicle.
Leave Requests:
In accordance with the accommodation rules applied in the Student Village, whenever any of our residents wish to stay outside the Student Housing, they must fill in the “Student Village Leave Form” and submit it to the Student Village Management Office. In cases where it is deemed necessary, the Student Village Management has the authority to verify the information provided for the safety of our residents. If a resident on leave provides false information, disciplinary action will be taken. Residents who use leave are considered to have accepted these procedures.
Visitor Accommodation:
The accommodation rules applied in the Student Village also apply to visitors. Student housing residents are responsible for ensuring that their visitors comply with the Student Village Code of Conduct.
Visiting hours in student housing are between 10:00–20:00. Students host their guests in the lounges designated by the Student Housing Coordination Office. The student being visited is responsible for ensuring that visitors comply with this rule and for any damage they may cause.
Student housing residents must always accompany their visitors.
Students’ first-degree relatives of the same gender may, in cases of illness or similar emergencies and if there is an available bed, stay for one (1) night in the student’s room with the approval of the other students in the room and the written permission of the Student Housing Coordination Office.
Visitors are required to use a “Visitor Entry Card”. These cards can be obtained from the main entrance security point.
In force majeure situations that threaten human health and safety such as epidemics or natural disasters, the Student Housing Coordination Office may restrict visitor access or suspend it entirely.
Accommodation During Make-Up Exams and Summer School:
After the end date of the spring term final exams, students who will take make-up exams may continue to stay in the Student Village until the end of the make-up exams by submitting their transcript documents to the Student Village Management Office.
For all accommodation that will take place after the end date of the make-up exams, an additional fee must be paid. Information regarding the fees is provided by the Student Village Management Office. The fee required for the period of stay must be deposited into the Student Village Bank Account, and the receipt must be submitted to the Student Village Management Office.
Keys:
Student Village keys are the property of the university and may not be duplicated. Student Village residents may not lend, sell or transfer their keys (or personal entry materials such as student IDs) to another person. Students who forget their key and cannot enter their room may obtain a key from the Student Village Management Office for a fee. The fee to be paid for a new key can be obtained by applying to the Student Village Management Office. All keys issued must be returned upon departure. A monetary fine is imposed for keys that are not returned.
Room Cleaning:
Student Village residents are responsible for regularly disposing of their own trash in the central garbage bin, for the care of their rooms and the furniture in them, and for fulfilling hygiene and safety requirements.
General room cleaning is provided free of charge twice a week in all rooms in the Student Village. The schedule for the day and time of cleaning services is organized by the Student Village Management Office. If the room is found to be untidy on the cleaning day, the room will not be cleaned and its cleaning will be postponed to the next scheduled day.
The changing of bed sheets is not included in the room cleaning service.
Common areas are cleaned once a day.
Maintenance and Repair Requests:
Guests must submit their maintenance and repair requests concerning rooms, bathrooms and common areas to the Student Village Management Office by calling 0549 870 19 09 and/or by email at ogrencievleri@arel.edu.tr. In emergencies such as fire risk, 0549 870 19 09 must be called immediately. Any additional damage arising from late reporting of maintenance and repair needs will be the joint responsibility of all residents sharing the same room. Requests received are evaluated according to their level of urgency. However, in situations that pose a risk, room changes may be made.
Responsibility for Damages:
Residents determined to have caused damage to rooms or other areas are required to cover the cost of repairs and maintenance. In rooms used by more than one resident, if it cannot be determined who is responsible for the damage, all residents sharing the room must jointly cover the cost. Damage costs up to the amount of the deposit will be deducted from the deposit. If the damage exceeds the deposit amount, payment must be made within 30 days. In all cases, the full cost of the damage must be paid before the departure date from the Student Village. Residents are not allowed to repair any damage themselves or have it repaired by another person.
Loss or Theft:
Student Village residents must report lost or stolen keys and all other lost or stolen items to the Student Village Management Office. Students are fully responsible for their own belongings that are lost or stolen.
Use of Equipment:
Sports equipment must be kept in designated areas or in rooms. Sports equipment left in prohibited areas (common areas and corridors) will be considered ownerless and may be disposed of.
Dormitory equipment, materials and furniture must not be removed from their designated locations or moved elsewhere.
Use of Electrical Devices:
Once we are finished using electrical devices, their plugs must be removed from the sockets. Turning devices off using only the on/off switch is not sufficient. Even when not in use, electrical devices left plugged in can cause fires.
No additional electrical devices may be used other than those authorised for use by the administration.
No device may be used for purposes other than its intended use. (For example: cooking food or boiling milk in a kettle.)
Quiet Hours:
Quiet hours are from 22:00 to 09:00, including Saturdays, Sundays and holidays. During exam periods, this rule is in force 24 hours a day, including weekends.
In order to provide an environment suitable for studying, all residents must behave respectfully toward one another and avoid making noise in corridors, stairwells and other common areas. Under no circumstances should radios or music be played, television watched, or musical instruments played at a volume that can be heard in other rooms.
Entry to Rooms and Inspections:
Apart from routine cleaning and technical issues, Student Village managers and security staff have the right to enter student rooms and conduct searches for security reasons or for routine inspections.
Parcel and Cargo Tracking:
Students are fully responsible for parcels and cargo delivered in their name. Cargo companies leave delivered packages in the locker at the entrance of the Student Village, and students can pick up their packages from this locker. For cash-on-delivery shipments or deliveries requiring ID verification, the student who owns the cargo must personally receive it. If this is not possible, it is recommended that the package be collected from the cargo branch office. The Student Village management and staff cannot be held responsible for lost or damaged cargo.
Camera System:
Common areas such as the garden and dining hall are monitored and recorded 24/7 for the safety of your life and property.
Covid-19 Measures:
Necessary measures related to Covid-19 have been taken in the Student Village. Along with these measures, our residents must follow the directives of the Ministry of Health regarding Covid-19 and pay attention to the required social distancing, mask use and hygiene rules. If individuals with whom our residents have been in close contact test positive for Covid-19, our residents must inform the Student Village Management and immediately apply to a healthcare institution to get tested. Residents whose Covid-19 test is positive or who are awaiting test results will be quarantined in the quarantine villa established in the Student Village.
Occupational Health and Safety Measures:
Occupational health and safety measures have been implemented in the Student Village for our residents and staff. Our residents are required to comply with these measures.
